What Role Should The COO Have In Our Project Coordination Meetings?

We have established regular project coordination meetings between team leads in our company and have had great success to streamline project delivery.

Should our new COO be invited to the project coordination committee (he is currently outside of it)?

Due to the role and the fact that we currently don't have a VP2 leader, should this person become the champion for other VP2 opportunities?

It is imperative that the Project Coordination meeting is seen as inclusive. If there are leaders in the business who are not part of it, but you feel could add value, do invite them. If nothing else, this will assist improve communication.

But beware to immediately assign them a bigger responsibility (e.g. VP2 leadership) just by the mere fact of their title. First see if the person naturally takes on a bigger leadership role in the group. If they do, they might become your best ally on the DX (Digital Transformation) journey.

Some More Insights

  • Before just inviting them, approach the person in question and have a value conversation about what is currently missing in the project coordination team and what value they might play.
  • Do prepare any new member of your Project Coordination team before they attend their first meeting. Explain what to expect and how things work. Use articles like A Mid-Sized Business Needs At Least 4 Strategic It Leaders and the series on Project Coordination for this.
  • Give it a bit of time and make sure that the leader really wants to drive a Digital Culture before designating them (or anybody else for that matter) as VP2 / VP3 leader.

Pro Tip

  • The Project Coordination team could easily become the nucleus to kickstart DX. The best candidate projects for really starting DX in mid-market companies typically have a VP2 focus. A quick-win project in VP2 could be very valuable to the COO and he/she in turn could become a DX champion in Exco.
